You have found the perfect new employee to join your team. Congratulations! In terms of hiring a new employee, no doubt you want to ensure that you and your new employee have a positive start together. But what do you need to do?

Firstly, consider what employment documentation you will need.  For example, have you prepared a good quality Employment Agreement for your new employee? Employment Agreements are important documents as they ensure that both you and your new employee have a clear understanding of what is expected from both parties during employment. Avoid free and substandard templates. Having a good contract in place will help to reduce exposure to future risks. Read our article on this topic here.

You will also need to provide your new employee with a Fair Work Information Statement. The Information Statement is an informative guide for employees about their conditions of employment which forms part of the National Employment Standards (NES) and it is compulsory for employers to provide one to all new employees.

Then, of course, there is the documentation needed for payroll and record-keeping such as a Super Choice form, Tax File Declaration form and collection of your new employee’s personal information such as address and next of kin.

Another smart thing to do when hiring a new employee is to ensure your workplace has set policies and procedures, which can be provided in a handbook style document for small business. Policies and procedures enable there to be a clear understanding of how your business operates and the rules employees need to follow. How else will they know what the rules and expectations are?

Once documentation has been thoroughly considered, you may wish to switch your focus to your new employee’s first day. We recommend creating a clear induction schedule for their first day. This may include points such as showing them where the bathrooms, kitchen and lunchroom are. You may also show them how to use different equipment in the workplace such as a coffee machine or the office printer. Don’t forget to set up their computer email and login details and provide access to any other systems they might need. Also, teaching them about health and safety requirements is a must. By showing your new employee that you have thought out their first day, they will feel like they are an important member of the team while at the same time making you look organised. A win-win for all!
